The Guest List Manager is a free, private tool for tracking everyone invited to your event — weddings, walimas, birthdays, dawats and corporate functions. Add guests with their side, RSVP status, plus-ones and table notes; the dashboard shows confirmed, declined and pending counts plus the true headcount. Everything saves in your browser automatically, and the list exports to CSV.

How do I use the guest list manager?

  1. Add guests: type the name, pick their side (bride’s, groom’s, friends…), set the RSVP status, add plus-ones and an optional table or seat note.
  2. Update as replies come in: change the status right in the list with the per-row dropdown — the dashboard counts update instantly.
  3. Find anyone fast: use the search box and the status/side filters when the list grows into the hundreds.
  4. Use the headcount: the dashboard’s true headcount (guests + plus-ones) is the number your caterer and venue need.
  5. Export or print: download a CSV for spreadsheets, or print a clean list for the seating team.

Who is the guest list manager for?

Wedding families juggling separate baraat, mehndi and walima lists; birthday and baby-shower hosts tracking who is actually coming; corporate coordinators confirming seminar attendance; and dawat hosts who need an exact headcount for the caterer. Because the dashboard separates invited, confirmed, declined and pending, you always know how many chairs, plates and favour boxes to plan for — and the plus-one count stops the classic mistake of under-ordering food.

Pair it with the Event Budget Planner (headcount drives catering cost) and the Invitation Message Generator for the wording you send to everyone on the list.

What are the limitations of this tool?

It keeps one guest list per browser with no cloud sync — export the CSV before switching devices or clearing site data. There is CSV export but no import, so lists are built inside the tool. It does not send RSVP reminders or invitations for you; you collect replies through WhatsApp, calls or cards and record them here. Guest names stay on your device and are never uploaded anywhere.

Frequently asked questions

Where is my guest list stored?

In your browser’s localStorage on your own device. Nothing is uploaded, no account exists, and the list keeps working offline once the page has loaded.

How are plus-ones counted in the headcount?

Each plus-one adds one to the headcount. The dashboard shows both the number of named guests and the true headcount (guests + plus-ones) — the figure your caterer and venue actually need.

Can I manage guest lists for multiple events?

The tool keeps one active list per browser. Export the finished list as a CSV, press “Clear all”, and start the next event fresh.

Can I import a guest list from Excel?

Not directly — there is CSV export but no import. Build the list inside the tool; for a few hundred names, the add form plus search and filters keep it quick.

How do I share the guest list with family or vendors?

Export the CSV or print the list and send it over WhatsApp or email. There is no cloud sync, so the exported file is the sharing mechanism.

Is the guest list manager free?

Yes — free and unlimited with no sign-up, like every tool on this site.
